Frequently asked questions

What is a competency management system?

A competency management system helps organisations define what "good looks like", assess staff against clear criteria, and track capability over time. It centralises assessments, standardises expectations across sites, and highlights skill gaps so you can plan development actions.

  • Create role-based competency standards and checklists
  • Assign assessors, due windows and recertification cycles
  • Capture evidence with assessor sign-off
  • View dashboards of competent/not-yet-competent by team, role or location
  • Run gap analyses to prioritise training or supervision
What is included in a competency assessment?

A typical assessment includes clear performance criteria, the evidence required to demonstrate competence, an assessor sign-off, and a rating scale (e.g., Competent / Not Yet Competent). Assessments are used for initial verification, periodic refreshers, return-to-work checks and targeted remediation.

  • Criteria: observable skills and behaviours aligned to practice standards
  • Evidence: direct observation, simulation/case logs, knowledge checks
  • Ratings: binary (C/NYC)
  • Sign-off: assessor name, date/time stamp, comments; optional co-signer
  • Outcomes: recorded to the staff profile and included in reports
How do workforce capability frameworks help with role expectations?

Capability frameworks define the skills and behaviours required for each role and level, giving managers and staff a shared language for expectations. They make it easier to plan onboarding, career progression and targeted development.

  • Map competencies to roles, levels and practice domains
  • Align to external standards where appropriate
  • Use a capability matrix to spot gaps across teams or sites
  • Link framework items to assessments, courses and supervision
  • Review cycles keep expectations current and consistent
